AI agents built into the way you already work

We design, build and deploy custom AI agents inside your existing systems, so they handle real operational work: coordination, reporting, document processing and more, with your team in control. Not another tool to log into. Work that quietly gets done.

The basics

What is an AI agent?

An AI agent is software that carries out a defined task on its own inside a workflow, using AI to handle the parts that need reasoning.

Unlike a chatbot you have to prompt, or a general assistant that sits to one side, an agent works inside your systems and does the job: reading an enquiry and routing it, pulling a report together, extracting the key terms from a contract, chasing an approval that's gone quiet.

The difference that matters is where it lives. A chatbot waits for someone to ask it something. An agent is wired into the work itself, triggered by what happens in your business, acting inside the tools you already use, and handing off to a person the moment something needs judgment.

That's the shift. Not AI you have to operate, but AI that operates as part of how work already moves.

The problem

Most businesses have AI tools. Few are getting value from them.

The reason is almost never the AI. It's the structure underneath it. Point a powerful model at a messy, undefined workflow and you get confident-sounding noise, because the agent doesn't know what good looks like, who owns the outcome, or how the work is meant to flow.

This is why we design the workflow first, including how people, agents and systems hand off to each other, and only then deploy the agent. Get that order right and the value is immediate and obvious. Get it wrong and you've added another tool nobody trusts.

If you've already tried AI and it didn't stick, this is usually why.

How it works

Powerful, but never off the leash

Our agents run inside a proprietary orchestration engine that combines them with human decision points and the integrations your business already relies on. In plain terms, that means three things.

  • Agents follow defined steps, not free rein. Each agent has a clear job and a clear path. It isn't left to improvise across your business, so its behaviour is predictable and repeatable.
  • People stay in control of the decisions that matter.Anything that needs judgment routes to a person. The agent does the legwork, a human makes the call, and the line between the two is deliberate.
  • Every action is logged and visible. You can see what the agent did, when, and why. Nothing happens in a black box, which is what makes this safe to run in regulated work like legal and accounting.

The result is AI you can actually trust with real operational work, because it's constrained, supervised and auditable by design.

Where agents help

Four places agents earn their keep

We look for the points in your operation where the same friction shows up again and again. These four cover most of what we build.

  • Coordination

    Solving coordination burden

Work that only moves when someone chases it. Agents handle follow-up, approvals and status updates automatically, so nothing stalls waiting on a human to step in.

  • Reporting

    Improving reporting visibility

Visibility that takes manual effort to produce. Agents consolidate data across systems, generate updates and surface exceptions before they become problems.

  • Knowledge

    Closing knowledge gaps

Insight from meetings, emails and documents that never makes it into your systems. Agents extract, summarise and route it to the right place automatically.

  • Scale

    Lifting the scale ceiling

Processes that break when volume climbs. Agents handle intake, triage and routing at scale, so your team spends time on decisions, not administration.

By industry

AI agents deployed across your industry

The highest-value agents are the ones built around how your specific industry actually works. Pick yours to see where agents fit.

Trust & governance

Built to be trusted with real work

Running AI inside a legal or accounting practice sets a high bar. Here's how we meet it.

  • Human in the loop by design.

Agents handle defined tasks. Any decision that needs judgment stays with your team. You decide where the line sits.

  • Predictable and auditable.

Agents follow defined steps and log every action, so you always have a clear record of what happened and why.

  • Your data stays yours.

We deploy per client, offer Australian data residency, and never train models on your business's data.

  • Not locked to one AI vendor.

We're model-agnostic, so we use the right model for the job and you're never stranded if the landscape shifts.

  • Monitored in production.

Every agent is observed and logged once live, so issues surface early and performance stays visible.

How we build

From idea to working agent

We don't start with the technology. We start with the work, and we prove value on one workflow before scaling.

  1. Step 01:

    Scope one task

We start on one task your team currently does by hand, on your real inputs. First Build Free is where this begins: a working agent, live in five business days, running for 30 days at no cost.

  2. Step 02:

    Design

We map the workflow, define exactly what the agent does, where humans stay in control, and how it connects to your systems.

  3. Step 03:

    Pilot

We build and deploy the agent on one real workflow, prove it works in your environment, and measure the result before going wider.

  4. Step 04:

    Roll out and embed

Once it's proven, we scale it across the business with governance, ownership and monitoring in place so it stays reliable.

What clients say

WorkflowPower has been nothing but fantastic, providing competent and professional services for Hungry Jack's PMO team with some complex deliverables. Highly recommend Josh and his team.
DevPMO Director
Simonds Homes have found Josh from WorkflowPower to be extremely helpful, saving our Marketing Team valuable time and resources as we sought to familiarise ourselves with entirely new project management software. Josh was able to listen to our individual needs and provide solutions which were efficient, and most importantly effective, for our team's productivity and vision.
DanniMarketing
Josh has been phenomenal as an implementation partner. So cool, calm and so patient. He understands common business challenges and the anxiety that comes with change management. He has no issues getting deep into the details and happy to step into our mess to find order and process that works in this new system. I could not recommend Josh more highly.

FAQ

Frequently asked questions

What is an AI agent, in plain terms?

An AI agent is software that does a defined job on its own inside your workflow, using AI for the parts that need reasoning. It works inside your existing systems rather than as a separate tool you have to operate, and it hands off to a person whenever a decision needs judgment.

How is an AI agent different from ChatGPT or a Copilot?

A chatbot or assistant waits for you to prompt it, whereas an agent is wired into the work itself. It's triggered by what happens in your business, acts inside the tools you already use, and completes the task rather than just giving you an answer to act on.

Are AI agents safe to run in our business?

Yes, because ours are built to be constrained and supervised, not autonomous. Each agent follows defined steps, routes anything needing judgment to a person, and logs every action, so you keep control and always have a clear record of what it did.

Will AI agents replace our staff?

No. Agents take over the repetitive coordination and admin that eats your team's time, so people spend it on the work that needs judgment and relationships. The aim is to lift your team's ceiling, not remove them from the process.

Can AI agents work with the software we already use?

Yes. We build agents that operate inside your current systems and connect through the integrations you already rely on, so the goal is to augment your stack rather than replace it.

Which AI models do you use?

We're model-agnostic and use the right model for each job, drawing on the leading providers rather than locking to one. This means you get the best fit for the task and you're never stranded if the landscape shifts.

How do you keep our data secure and private?

We deploy per client, offer Australian data residency, and don't train models on your business's data. Every agent is monitored and logged in production, so activity stays visible and auditable.

What happens if an agent makes a mistake?

Because agents follow defined steps and log every action, issues are visible and contained rather than hidden. Anything uncertain routes to a human by design, and we monitor agents in production so problems surface early and get corrected quickly.

How long does it take to deploy an AI agent?

It depends on the workflow, but we deliberately start small. We prove value on one real workflow first, which is fast, then scale from there once it working in your environment.

How much do AI agents cost?

Engagements are scoped and priced on what we're building together. The First Build Free offer is free (a working agent on one real task, live in five business days, running for 30 days) and lets you see the value before any commitment. Ongoing agent development and optimisation can run as a retained arrangement.

How do we get started with AI agents?

Show us one task your team currently does by hand and we'll build an AI agent that does it, free, running on your real work for 30 days. It's the fastest way to see what an agent can actually do in your business, with no cost and no obligation at the end.
